Hub Manager

Your Role

Be the backbone of LIFT99 Tallinn’s operations and the spark that connects our members. From fixing a flickering light to introducing two founders over coffee, you’ll ensure everything—and everyone—feels right at home.

What You’ll Do

  • Manage the space: Oversee all physical aspects of the hub — rooms, kitchen, appliances, supplies, and minor repairs.

  • Technical systems: Monitor WiFi, lighting, heating, and access controls; coordinate with vendors and service providers to ensure smooth operations.

  • Financial oversight: Maintain budget spreadsheets, track expenses, and help identify cost-saving opportunities. No prior tax or finance experience required — we’ll support you.

  • Office operations: Manage coworking software, visitor reception, package deliveries, emails, and Slack channels.

  • Onboard & welcome new members: lead tours, learn their goals, and help them settle in.

  • Get to know the members, their businesses, ups and downs, to know when and how to support and connect them with the best people around the Hub and beyond through the LIFT99 international network.

  • Be the connector: proactively introduce members with shared interests, set up casual coffee chats, and foster hallway conversations.

  • Keep communication flowing: manage Slack channels and member newsletters to share updates, resources, and shout-outs.

  • Gather feedback: check in regularly, surface ideas or pain points, and share insights with the team to enhance our community experience.

  • Event support: Help keep community events organized and running smoothly, from coffee stock to seating arrangements.

What We’re Looking For

Must-Haves

  • Proactive, detail-oriented, and resourceful — you notice what needs doing and jump right in.

  • Capable of performing basic repairs and maintenance tasks as needed.

  • Excellent organizational skills with the ability to prioritize multiple tasks.

  • Strong communication skills in English and Estonian.

  • Experience in office management, facilities, or coworking space operations.

  • Friendly, trustworthy, respectful, and a great team player.

Nice-to-Haves

  • Basic understanding of budgeting or financial principles.

  • Fluency in additional languages is a bonus.

  • Familiarity with the local startup ecosystem — you know the players and keep up with the scene.
